Getting Started
Open Outlook and navigate to the "Get Add-ins" option from the ribbon toolbar. Search for "SwiftMerge" in the Microsoft AppSource marketplace and click "Get it now." The add-in installs instantly and appears in your Outlook sidebar. Sign in with your Microsoft account and you're ready to go — no downloads or IT approval needed for most organizations.
SwiftMerge supports Outlook on the web (outlook.office.com), the Outlook desktop app for Windows and Mac, and the new Outlook for Windows. It requires a Microsoft 365 subscription (Business Basic, Business Standard, E3, E5, or similar). Classic Outlook 2019 and older standalone versions are not supported.
It depends on your organization's settings. Most Microsoft 365 tenants allow users to install add-ins on their own. If your admin has restricted add-in installations, they can deploy SwiftMerge centrally via the Microsoft 365 admin center under "Integrated Apps." We provide a deployment guide for IT admins on request.
Most users send their first campaign within 5 minutes of installing. The process is straightforward: install the add-in, import a contact list (CSV or Excel), compose your email with merge fields, and hit send. Check out our How it Works page for a full walkthrough.
Sending & Campaigns
Yes. Every email is sent directly from your own Outlook 365 mailbox via Microsoft Graph API. This means your emails have full deliverability, display your real email address, and appear in your Sent folder just like any other email you send. There are no third-party "via" headers or external routing.
SwiftMerge plan limits are based on daily sending volume. The free Starter plan allows up to 50 emails per day, Professional allows 500, and Enterprise is unlimited from our side. If you reach your daily limit, remaining emails are automatically queued for the next day. Note that Microsoft 365 itself has its own sending limits which SwiftMerge respects automatically. When you import contacts, SwiftMerge maps each column from your spreadsheet as a merge field (e.g., First Name, Company, Role). While composing your email, click to insert tags like {{First Name}} or {{Company}} anywhere in your subject or body. Each recipient receives a uniquely personalized version. Professional and Enterprise plans also support conditional content blocks — show different paragraphs based on recipient data.
Yes, on Professional and Enterprise plans you can schedule campaigns for any future date and time. SwiftMerge supports time-zone aware delivery, and you can pause, reschedule, or cancel queued campaigns at any time from the sidebar dashboard.
Yes. You can attach files to your campaign emails just like you would in a normal Outlook email. All standard file types are supported. Keep in mind that large attachments increase send time and may affect deliverability — we recommend keeping attachments under 10MB per message.
Tracking & Analytics
Yes. SwiftMerge provides real-time open tracking on all plans. You'll see which recipients opened your email, when they opened it, and how many times — all in a live activity feed inside your Outlook sidebar. Open tracking uses a standard invisible pixel technique and is included on every plan, including Starter.
Click tracking is available on Professional and Enterprise plans. SwiftMerge wraps your links with tracking URLs so you can see exactly which recipients clicked which links, when they clicked, and how many times. You'll see this data in real-time on your campaign dashboard.
Professional and Enterprise users can export full campaign reports to CSV. The export includes per-recipient data: delivery status, open timestamps, click events, and bounce information. This is useful for sharing results with stakeholders or importing into your CRM.
Billing & Plans
Yes. The Starter plan is completely free forever — no credit card required, no trial period. You get up to 50 emails per day, basic merge fields, open tracking, and 5 templates. It's a great way to try SwiftMerge with no risk before deciding if you need more volume or advanced features.
Absolutely. All plans are month-to-month with no long-term contracts. You can upgrade, downgrade, or cancel directly from your account settings at any time. When you cancel, you'll keep access through the end of your current billing period. Your campaign data and templates are preserved if you decide to return later.
Annual plans are billed once per year at a 20% discount compared to monthly pricing. Professional is $180/year ($15/month) and Enterprise is $468/year ($39/month). You can switch between monthly and annual billing at any time from your account settings.
Yes, we offer special pricing for registered nonprofits and educational institutions — typically 30–50% off standard pricing. Contact our sales team with your organization details and we'll provide a custom quote.
Security & Privacy
Security is a top priority. SwiftMerge uses Microsoft OAuth 2.0 for authentication — we never see or store your email password. Your contact data is encrypted at rest (AES-256) and in transit (TLS 1.3). We're fully compliant with Microsoft's security requirements for Office add-ins and follow industry best practices for data protection.
SwiftMerge requests only the minimum Microsoft Graph permissions needed to function: permission to send emails on your behalf and read your basic profile information. We do not request access to read your inbox, calendar, files, or any other data beyond what's necessary for mail merge and campaign sending.
Yes. We take privacy compliance seriously. SwiftMerge adheres to GDPR and other applicable data protection regulations. We process data only as necessary to provide the service, provide data export and deletion tools, and maintain a clear privacy policy. You can request deletion of all your data at any time from your account settings.
Technical
Microsoft 365 has its own sending limits (typically 10,000 recipients per day for business plans). SwiftMerge uses smart throttling to pace your sends — automatically spacing messages to stay within Microsoft's boundaries. If limits are approached, remaining emails are queued and sent when capacity is available. You'll see real-time progress in the sidebar.
SwiftMerge supports CSV (.csv) and Excel (.xlsx, .xls) files for contact imports. When you upload a file, SwiftMerge automatically detects your columns and maps them to merge fields. You can review and adjust the mapping before confirming the import. Duplicate detection and email validation are built in.
SwiftMerge automatically adds an unsubscribe link to the footer of each campaign email. When a recipient clicks it, they're immediately removed from future campaigns. Unsubscribed contacts are flagged in your contact list and will be skipped in all subsequent sends. This keeps you compliant with CAN-SPAM and other email regulations.
Bounced emails are automatically detected and logged in your campaign report. Hard bounces (invalid addresses) are flagged in your contact list to prevent future delivery attempts. Soft bounces (temporary issues) are automatically retried. Your dashboard shows bounce rates alongside opens and clicks for a complete view of campaign health.
